An AI receptionist that answers every call
Day, night, at weekends and when every line is busy, CallVista answers your number, replies from your own documents and prices, and ends every call with a next step your team can see.
By default, every call opens by saying it is an AI, as the EU AI Act requires.
When someone calls your number
The same five steps on every call, whether it is ten in the morning or three at night.
It answers, and says it is an AI
The agent picks up in the language you set for it, introduces itself by name and, by default, says in its first sentence that this is an AI. Asked outright, it always answers honestly.
It answers from your knowledge
Products, prices, delivery, opening hours: it finds the answer in your own documents and product catalogue, uploaded or imported from the Business Booster ERP, and says it in its own words. It listens while it speaks and can be interrupted.
It says when it does not know
If the answer is not in your knowledge base, it says so and offers to send it by email. The question waits in your inbox, so you can add the answer before the next caller asks.
It takes the next step
An offer by email right after the call, a callback at the time the caller names, or a transfer to a colleague. Nothing depends on someone remembering.
Your team sees everything
Every call is summarised, scored and analysed, with the recording and transcript if you switch them on. Whatever needs a person lands in one inbox.
No more missed calls
The phone stops ringing out. These are the moments a caller used to be lost.
What a caller can ask for
- Information. Products, prices, availability, delivery and terms: whatever is in your documents and catalogue.
- An offer by email. It leaves right after the call, in the language of the call, and the caller can accept it, ask for more information or decline.
- A callback. “Call me tomorrow after two” becomes a callback at 14:00, and automatic calls never push it aside.
- A person. The agent puts the caller through to the number you set. If nobody answers within 20 seconds, it takes the caller back and the request waits in your inbox.
- To leave a question. When the agent cannot answer, it offers to send the answer by email and the question reaches your team.
Questions about the AI receptionist
Is an AI receptionist the same as a phone menu (IVR)?
No. A phone menu asks callers to press keys and route themselves. The AI receptionist holds a conversation: it understands what the caller says in their own words, answers from your information and takes the next step itself.
Can the caller speak to a person?
Yes. Set a transfer number for the agent or for the whole workspace and the agent puts the caller through. If nobody answers within 20 seconds, the agent takes the caller back and your inbox shows that they asked for a person. Without a number, the request is recorded the same way.
Which languages does it answer in?
Each agent speaks one of 11 European languages: Croatian, English, German, Italian, Slovenian, Serbian, French, Spanish, Portuguese, Dutch and Polish. Give each number the agent in the language its callers speak.
How does it know my prices?
From your own documents and product list, uploaded or imported from the Business Booster ERP. Before it answers anyone, you can ask what a customer would ask and see exactly what it would find.
Are calls recorded?
You decide per agent. Calls can be recorded and transcribed live; the transcript drives the call summary, the offer email and the follow-up.
How many calls can it take at once?
As many as your telephone account allows, unless you set a limit per agent or per workspace. When a limit is reached, the caller hears a short message and is called back.
